Field codes in Word
Here are two methods for taking extra precautions with EndNote's field codes in Word documents when sharing a document with supervisor, editor or collaborator.
These precautions are not standard and are normally not necessary. They are offered as suggestions for people who are highly concerned about possible corruption.
In each case, ensure that your document is backed up.
Unformatted citation
If your supervisor, editor or collaborator is prepared to accept the presence of the unformatted citations and no bibliography, this would be a very safe way to share your document.
With the document open in Word:
- click on the EndNote toolbar
- click on Tools
- click on Convert to Unformatted Citations.
The curly brackets need to remain in this draft so that EndNote will be able to identify them later when formatting.
If necessary, you can create, copy and paste a manual bibliography using the following method.
Convert to plain text
While the process of converting to plain text is normally performed just before final submission, it can be done at any time, but you can use the plain text version only as a temporary draft. Any changes suggested from your colleagues will need to be manually copied into the original document in which EndNote’s field codes are still running.
With the document open in Word:
- click on the EndNote toolbar
- click on Tools
- click on Convert to Plain Text.
The process of generating a plain text version is so quick and easy to perform that you may wish to run it, then copy and paste the plain text bibliography from this newly generated version into a draft produced by the first method.
